Event Marketing ManagerThis person will have meticulous project management skills, managing all aspects of events, including budgets, timelines and vendors, while coordinating with sales, executives and other cross-functional teams to ensure success. This person should be adept at working within a team environment and equally comfortable working independently. Strong written and verbal communication skills are an absolute must, as they will be tasked with interfacing and managing projects with internal and external stakeholders at different levels of the organization. Candidate will be required to provide outstanding customer service, be an enthusiastic professional, and be able to build relationships with internal and external partners at conference events. This person will manage the coordination of multiple events simultaneously.
Primary Job Duties & Responsibilities

  • Research tradeshow details and opportunities beyond booth display to find creative solutions for participation
  • Maintain annual tradeshow calendar with event and sponsorship details, conference results, and expense tracking
  • KPI development, analysis and ROI reporting a must to evolve strategy YOY
  • Produce corporate level events to include annual customer loyalty trip, vendor summit, customer meetings, which require coordination with executive leadership
  • For each event, create a Marketing Brief to include event details, outline tasks, and deadlines
  • Create a project plan with all details and tasks for each event
  • Coordinate all in-person logistics in collaboration with experiential vendor: reserve the booth, register attendees, and order carpet, electrical, internet, lead management, furniture, shipping of supplies, and other items
  • Build virtual tradeshow booth and webinars
  • Build B2B & B2C communication plan for each major event.
  • Work with creative services on branding elements tied to business objectives
  • Exceptional ability to work with cross-functional teams: business subject matter experts, communications (email, social), creative (print and web), and vendor partners
  • Manage logistics with event partners in the coordination of supplies and shipping to shows
  • Work with logo merchandise supplier on giveaways and promotions
  • Submit new graphic requests for events to our Design Team and manage the project from start to completion
  • Expense tracking and working with Finance to process invoices for payments
  • Research event integrations, social gatherings, networking opportunities, sponsorships, etc. associated with conferences we are participating in
  • Assist with negotiations for space contracts and book events, arrange food and beverage, order supplies and audiovisual equipment, make travel arrangements, manage event logistics and ensure appropriate communications are shared with the team in an appropriate and timely manner.
  • Execute detailed communications to appropriate team members about logistics and expectations when they are attending conferences or hosted events.
  • Propose new ideas to improve the event planning and implementation process.
  • Prepare conference attendee lists and outline conference opportunities for the attending team.
  • Serve as the brand ambassador for client(s) and expert on brand guidelines, marketing campaigns, product trends and industry competition tied to branded merchandise
    Minimum Qualifications
    • Minimum of 4 years of professional meeting planning experience or logistics coordination experience required.
      Education, Work Experience, & Knowledge
      • Bachelor's Degree preferred.
      • 5+ years' experience in event planning, specifically participating as an exhibitor or sponsor at tradeshows
        Job Specific Technical Skills & Competencies
        • Thorough knowledge and understanding of participating as an exhibitor and sponsor at tradeshows.
        • Excellent verbal and written communication skills
        • Organized, detailed, creative problem solver, and a passion for all steps of the event planning process
        • Project management experience
        • Experience working with event vendors, sales teams, and promotional item vendors
        • Possess sound judgment whether generating proposals, writing correspondence, or speaking both internally and externally to groups at different levels
        • Exhibits strong professionalism and confidence when communicating.
        • Demonstrated ability to manage multiple projects simultaneously, set priorities, utilize resources, and meet deadlines
        • Print production knowledge
        • Logo merchandise - use of decoration background a plus
        • Use of Workfront or other traffic management system a plus
