The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the department. The person in this role serves as a liaison for the department, works closely with other Administrative Assistants and senior management teams and oversees special projects. The ideal candidate has the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. They should also have the ability to work independently on projects, and must be able to work under pressure to handle a wide variety of activities and confidential matters with discretion. Schedule / Calendar Management: - Manages an extremely active calendar of appointments for SVP/VP's using Outlook. - Ensure executives are aware of daily schedule, have appropriate hand-outs, files, presentation, etc. in advance of meetings and notified of schedule changes as they occur. - Communicates high priority conflicts to obtain feedback and reset priorities prior to rescheduling. - Coordinates the most efficient use of SVP/GM's time including: Anticipates and prepares daily schedule of SVP/GM's meetings and priorities. - Schedules appointments without prior clearance. Meeting / Event Coordination: - Initiates, establishes and communicates department meetings on behalf of SVP/VP. Prepares meeting agenda. Ensures meetings progress according to schedule. Follows up on meeting action items. - Organizes, prioritizes and summarizes the content of incoming materials, specially gathered information, special requests and meetings. - Anticipates, prepares and compiles materials for conferences and meetings on own initiative. - Screens telephone calls and determines whether SVP/VP should be interrupted based on business need of caller. - Schedules and coordinates meetings, conference calls, and other executive events; informs attendees/participants of function dates and times, reserves meeting space, and catering services when appropriate. - Takes meeting minutes as necessary and follows up on action items. Composes and types correspondence, memos, presentations, organization charts and confidential material. Travel Coordination: - Coordinates domestic and international air travel, ground transportation, and hotel accommodations. Communication: - Communicates in person and through correspondence with sometimes high level contacts inside and outside the company including vendors. - Performs other duties/functions as assigned.
